We’re hiring a Virtual Studio Assistant!

This person will be the primary point of contact for clients - from their first inquiry through session delivery and beyond - handling communication, discovery calls, scheduling, CRM updates, follow-up, and thoughtful long-term client care.

We’re looking for someone who is warm, highly organized, confident on the phone, and proactive about creating an elevated client experience. The ideal candidate enjoys relationship-building, can comfortably guide prospective clients toward booking, and pays close attention to personal details such as birthdays, anniversaries, family milestones, and future photography needs.

This flexible remote position includes some evening and occasional weekend discovery calls during busier periods, while most administrative and follow-up work can be completed on a self-managed schedule. Client-service, hospitality, sales support, administration, event planning, or similar experience is preferred; training is provided. Compensation is based on experience, with commission opportunities tied to booked sessions and product sales.

Virtual Photography Studio Manager

About the Role

We are a Kentucky-rooted photography studio specializing in portraiture, weddings, seniors, families, and fine-art printed heirlooms. We're looking for a warm, organized, and detail-driven Virtual Studio Manager to be the heartbeat of our client experience - the person who ensures every client feels remembered, valued, and cared for long after their session ends. This is a remote role, working closely with the studio owner from your own home office.

This role is ideal for someone who thrives on relationships, loves the art of a thoughtful follow-up, and understands that in a boutique service business, the sale is made in the small moments - a well-timed phone call, a birthday remembered, a question answered before it's even asked.

What You'll Do: 

Client Follow-Up & Communication

  • Serve as the primary point of contact for clients from initial inquiry through post-delivery follow-up.

  • Respond to client inquiries promptly, professionally, and in the studio's signature warm tone.

  • Maintain organized, accurate client records in our CRM, including notes from every conversation, milestone, and preference.

  • Send timely follow-up messages after inquiries, consultations, sessions, and product deliveries.

Long-Term Client Nurture

  • Build and maintain a long-term nurture system that keeps past clients connected to the studio year-round.

  • Track meaningful client milestones - birthdays, anniversaries, children's ages, wedding dates - and send personalized birthday and anniversary greetings, or small gestures on behalf of the studio.

  • Identify natural re-engagement moments (annual family updates, senior portraits for younger siblings, wedding anniversary sessions, holiday portraits) and reach out with tailored offers the studio has for them.

  • Cultivate referral relationships by keeping past clients feeling appreciated and top-of-mind.

Discovery Calls & Sales Support

  • Conduct discovery phone calls with prospective clients and qualify leads to gather more information about who they want photographed, understand their vision, needs, and educate clients on our studio processes.

  • Book consultations and sessions on the photographer's calendar, ensuring every prospect feels heard and confident before moving forward.

  • An exceptional communicator, both written and on the phone, with impeccable grammar and a polished, professional tone.

  • Deeply organized and detail-oriented. You never let a follow-up fall through the cracks.

  • Proactive and self-directed, you spot opportunities to delight clients before being asked.

  • Comfortable on sales calls and confident guiding conversations toward a next step, without ever feeling pushy.

  • Emotionally intelligent, discreet, and calm under pressure. Weddings and portrait sessions are high-stakes moments in people's lives, and you treat them accordingly.

  • Aligned with premium brand standards,  you understand the difference between transactional service and a truly elevated client experience.

Qualifications

  • 2+ years of experience in administration, client services, sales support, hospitality, event planning, or a similar client-facing role. Don’t let this scare you away - training is provided so we’re looking for someone who is interested in learning. 

  • Prior experience in a service-based or sales business strongly preferred.

  • Proficiency (or willingness to learn quickly) with CRM systems, email marketing platforms, scheduling tools, and Google/Microsoft Office suites.

  • Comfortable making outbound phone calls and holding structured discovery conversations based on a provided script.

  • Reliable high-speed internet, a quiet workspace, and availability in the evenings and weekends. This is not every day and we have times where it will be packed with evening and some weekend phone calls (maybe 1-2 weeks a month) but the rest of the follow up and administration work can be done whenever you’re available. Just looking for prompt follow up and response to clients when scheduling discovery calls.
